Roles & Responsibilities


We are currently hiring a Team Assistant to help manage the day-to-day official affairs of two Senior General Managers in our business, and give assistance to senior members of the Markets team. The role sits within the Global Markets Business Unit (Treasury Business) in SMBC and is situated in Singapore. We are seeking a detail-oriented and personable assistant in our fast-paced office. Given the interaction with Tokyo, it would be highly advantageous for the candidate to be a bilingual English-Japanese speaker ( N1 Proficiency Level).

Depending on the career aspirations of the applicant this role has the room to grow into many various areas of the front office. This could range from Translation Services, to taking part in business presentations etc.
The best fit will bring resourcefulness and excellent communication skills to the desk. The candidate should have proven experience working in an office, supporting coworkers and clients with varied administrative tasks

 

Job Responsibilities

  • Manage the agenda and arrange new meetings for the General Managers and senior staff
  • Handle expense related work for senior staff
  • Make guides for business staff on how to book travel, submit expenses, and other administrative matters
  • Answer phone calls and redirect them when necessary
  • Prepare and disseminate correspondence, memos and forms
  • Support and facilitate the completion of regular reports
  • Make travel arrangements
  • Document expenses and hand in reports

 

Job Requirements

  • Proven work experience as a Team Assistant / Exec Secretary / Administration Roles
  • Proficiency in Japanese (N1 Level) is highly advantageous as the role will be assisting to prepare reports in Japanese and coordinate with the Tokyo Head Office
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Integrity and professionalism
  • Proficiency in MS Office, especially MS Outlook
