A) Job Summary

The IT Asset Administrator supports both Asset Management and Contract Management by tracking and maintaining an accurate inventory of IT assets with lifecycle management for software and hardware, assisting the annual asset reconcilition, generating reports on asset utilization, and facilitating the disposal of unused asset. In Contract Management, she/he need to monitor and track contract expiration dates and renewals, communicate with respective contract owner and vendors to resolve contract issues, maintain documentation of contracts, and provide updates on contract status.

 

B) Roles and Responsibilities of an IT Asset Admin:

Asset Management Responsibilities

Policy Support

  • Assist in the implementation of IT asset management policies and procedures.

Data Entry and Maintenance

  • Maintain accurate asset records and update the asset management tool database.

Asset & Inventory Tracking

  • Support the ongoing inventory management process, including routine counts and audits.
  • Manage the device issueance and return device.

Reconciliation Support

  • Assist in the reconciliation of IT assets and maintain documentation for disposal agreements.

Asset Audits

  • Help prepare for and conduct asset audits, ensuring all records are up to date and accurate.

User Education

  • Provide training material and support to employees regarding IT asset policies and proper use.

Procurement Assistance

  • Assist in procurement processes by coordinating purchase requests and tracking shipments.

License Compliance Monitoring

  • Help monitor software licenses and usage to ensure compliance with agreements.

Annual Inventory Review

  • Participate in annual reviews of the IT asset inventory and assist in reporting discrepancies.

 

Contract Management Responsibilities

Contract Documentation

  • Help organize and maintain documentation related to IT contracts and agreements.

Vendor Communication

  • Assist in communicating with vendors regarding contract terms, renewals, and service issues.

Purchasing Support

  • Support the analysis of purchasing effectiveness and assist in resolving any related issues.

Renewal Notifications

  • Track contract expiration dates and assist in timely renewal processes.

 

General Responsibilities

Reporting

  • Generate reports related to asset management and contracts as required by the IT Asset Administrator.

Collaboration

  • Contribute ideas for improving asset management processes and increasing efficiency Work closely with the IT Asset Administrator and other team members to support initiatives and Asset projects related.

Continuous Improvement

  • Contribute ideas for improving asset management processes and increasing efficiency

 

C) Job Requirements:

  • Familiar with MO365
  • Familiar with MS Excel (intermediate level will be an advantage)
  • Familiar in managing IT assets and vendors.
