Responsibilities

Administrative Support

  • Coordinate office supplies, access requests, onboarding and offboarding arrangements, and other general administrative matters.
  • Prepare and disseminate internal communications, forms, announcements, and other administrative documents.
  • Manage expense-related tasks, including documentation, submission of claims, and invoice processing.
  • Organize and maintain physical and digital filing systems, shared folders, distribution lists, and administrative records.

 

STO Governance & Operational Support

  • Coordinate STO recurring meetings and activities, including scheduling, invitations, attendance tracking, agenda collection, meeting materials, and follow-up communications.
  • Support the preparation and consolidation of regular STO reports, presentation materials, status updates, and management information.
  • Collect inputs from relevant teams and stakeholders, monitor submission deadlines, and follow up on outstanding items.
  • Maintain recurring calendars, contact lists, organizational information, and other STO operational records.
  • Liaise with internal departments, Tokyo Head Office, group companies, vendors, and other external stakeholders as required.
  • Assist with town halls, team events, management visits, workshops, and other STO-wide activities.
  • Identify opportunities to improve and standardize routine administrative processes within STO.

 

Requirements

  • Proven experience as a team assistant or administrative coordinator, preferably within a large or international organization.
  • Strong ability to prioritize effectively and manage multiple tasks and deadlines.
  • Professional written and verbal communication skills in both English and Japanese, with strong interpersonal skills.
  • Proficiency in Microsoft Office, particularly Outlook, Excel, Word, PowerPoint, and Teams, with a proactive willingness to learn and adapt to other systems required for the role.
  • Strong attention to detail, accuracy, follow-through, and a proactive approach to problem solving.
  • Ability to work independently while collaborating effectively with multiple teams and stakeholders.
  • Ability to build effective working relationships across different functions, levels of seniority, and cultures.
  • Demonstrated discretion and sound judgment when handling confidential or sensitive information.
  • Flexibility to respond to changing priorities and ad hoc requests in a fast-paced environment.
