Job Responsibilities

  • 1. Department Operations & Administration

    • Provide day‑to‑day operational and administrative support to AID‑SNG, ensuring smooth running of departmental activities.
    • Manage documentation, records, contracts and departmental filing in line with the Bank's policies and record‑keeping standards.
    • Coordinate budget, expense processing and procurement administration for the department.

    2. Governance & Operational Risk (incl. TPRM)

    • Support the department's Third Party Risk Management (TPRM) obligations — coordinating vendor onboarding, Self‑Classification/Risk Assessment Questionnaires, periodic reviews and ongoing monitoring through the Bank's Coupa TPRM workflow.
    • Act as departmental coordinator for compliance and operational‑risk matters, ensuring policies and procedures are followed and deadlines met.
    • Complete periodic control tasks such as monthly/quarterly ID reviews and half‑yearly shared‑folder declarations, liaising with SAG/relevant control teams.
    • Support timely internal and regulatory reporting, self‑review/testing and incident reporting/remediation as required.

    3. Project Coordination & Support

    • Coordinate and track AID projects and initiatives, monitoring milestones, deliverables and follow‑up actions.
    • Prepare materials, minutes and status updates for internal and stakeholder meetings.
    • Liaise across Singapore, Tokyo Head Office, global Relationship Managers and Japanese corporate stakeholders to enable smooth cross‑border coordination.

Requirements

  • Bachelor's degree or equivalent relevant experience
  • Strong organisational skills with the ability to manage multiple concurrent priorities and meet deadlines.
  • High attention to detail, discretion and reliability in handling confidential and control‑sensitive matters.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Business-level proficiency in Japanese and English (verbal and written) is required, as the role regularly communicates with and prepares documentation for Tokyo Head Office and Japanese-speaking stakeholders.
